How to handle wedding photography inquiries (the response that wins the booking)
An inquiry comes in on WhatsApp at 11:47pm — "Hi, December 14 wedding, kya rates hain?" Most studios reply at 9am the next morning with a PDF rate card. By then, the bride has heard back from three other photographers, two of whom called within 20 minutes. The booking is gone, and the studio doesn't even know why.
This guide is for studio owners who want to convert more of the inquiries they're already getting — without spending a rupee more on ads.
Why most studios lose 60% of their inquiries
Industry data is brutal but consistent. Studios that reply within 5 minutes convert roughly 8× higher than studios that reply after 1 hour. After 24 hours, conversion drops below 5%.

Where inquiries come from (and why each needs a different reply)
Different channels need different replies. One template does not fit all.
- WhatsApp — most common in India. Reply in WhatsApp itself, in the language they used. Don't redirect them to email.
- Instagram DM — usually couples in early research mode. Move them to WhatsApp ASAP for serious negotiation.
- Phone call (missed) — call back within 10 minutes. If you can't, WhatsApp first with "Saw your call, calling back in 30 min — meanwhile please share date + venue?"
- Website contact form — slowest converters. Reply on email AND WhatsApp.
- Referrals from past clients — the highest-converting source. Treat with extra warmth, mention the referrer by name.
If you don't know where each inquiry came from, you don't know which channels to invest in. Tag every inquiry with source on day one.
The 4 things every inquiry needs answered — before they ask
When a couple inquires, they're really asking 4 things — usually only one explicitly:
- Are you available on my date?
- Are you in my budget range?
- Are your photos the vibe I want?
- Are you easy to work with?
If your reply addresses all 4, you'll move to a call. If it only answers #2 (price), you lose to whoever answers all 4.

This works for the most common inquiry type. Translate to Hindi or your client's language if that's what they wrote in.

For every inquiry, capture these 12 fields immediately. Don't wait until the quotation stage.

- Approximate guest count
- Photo / video / both
- Budget range (if shared)
- How they found you (source)
- Decision-maker (bride / groom / parents)
- Decision timeline (this week / this month / undecided)
Studios that capture all 12 close roughly 2× faster than studios that just ask "kitne ka quote chahiye?". The extra 90 seconds of upfront questions saves 4 rounds of back-and-forth later.
When to send a quote vs. when to call
Don't send a quote until you've had a 10-minute call. Here's why:
- A quote without context is just a price tag. Price tags get compared.
- A call lets you understand the wedding's feel — and write a quote that mirrors what they actually want.
- A quote sent after a call closes roughly 3× more often than one sent cold.
The only exception: corporate shoots or budget-driven walk-ins where you already know the only question is price.
The 3-touch follow-up cadence
Most studios send one quote and wait. The bookings go to studios that follow up. Use this cadence:
- Day 0 — send the quote
- Day 2 — "Just checking if you got a chance to review? Happy to answer any questions."
- Day 5 — "We've had 2 more inquiries for your date — wanted to give you a heads up before locking anyone in."
- Day 10 — the final ask: "Should I keep the date open or release it?"
After day 10, mark as cold. Don't keep chasing — it damages the relationship.
